will be added to the platform.&lt;br /&gt;&lt;br /&gt;Since the start of September we have been evaluating Magento and planning the integration.&lt;br /&gt;&lt;br /&gt;It is complicated in that Magento is still very new, and much is not documented.&lt;br /&gt;&lt;br /&gt;However, we have made good progress and expect Magento to launch in October.&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Magento will integrate with both FreshBooks and KashFlow accountancy &amp;amp; We don't think many companies will have full time data inputters putting invoices in manually.&lt;br /&gt;&lt;br /&gt;However, I used to run a store that regularly did 30 orders per day and at busy periods over 150 orders.  We didn't input any invoices, but put in aggregate monthly figures into our Sage accounts.&lt;br /&gt;&lt;br /&gt;The problem with that?&lt;br /&gt;- We regularly over-estimated VAT due to returns or exchanges;&lt;br /&gt;- After the VAT inspection we were told that our records weren't accurate enough and we *should* be inputting each invoice;&lt;br /&gt;- Our web stores lacked the reporting sophistication to allow us to spot our best customers;&lt;br /&gt;- We couldn't easily aggregate sales from our 2 different web sites and Ebay.&lt;br /&gt;&lt;br /&gt;If you have a brand new store or only do a few orders a month, then CTO is still a great time saving solution - It would be impossible to support all the myriad voucher contributions out there for OSCommerce.&lt;br /&gt;&lt;br /&gt;Instead, what we're doing is taking the total order value and subtracting the amount paid.  Anything left over is a discount or coupon.&lt;br /&gt;&lt;br /&gt;By default, the discount will show VAT - so a £10 voucher is £8.70 + VAT.&lt;br /&gt;&lt;br /&gt;However, if you have a situation where you sell £300 of baby clothes (zero rated for tax) and charge £5 plus 75p VAT for delivery, and provide a 50% discount, the VAT on the discount will be the maximum VAT charged on the order.&lt;br /&gt;&lt;br /&gt;Baby Clothes: £300&lt;br /&gt;Delivery: £5&lt;br /&gt;VAT: £0.75&lt;br /&gt;Subtotal: £305.75&lt;br /&gt;&lt;br /&gt;After applying a 50% discount, the total paid is £152.88.&lt;br /&gt;&lt;br /&gt;The discount line on KashFlow would show it as: £152.13 + 75p VAT, so it would look like:&lt;br /&gt;&lt;br /&gt;Baby Clothes:  £300.00      + £0.00 VAT&lt;br /&gt;Delivery:          £5.00            + £0.75 VAT&lt;br /&gt;Discount:       -£152.13         - one occurs when doing tax calculations;&lt;br /&gt; - the second when doing currency conversions.&lt;br /&gt;&lt;br /&gt;They are small bugs and usually only means your order total is usually just 1p out.&lt;br /&gt;&lt;br /&gt;However, it gets annoying when CTO pulls out the amount paid from OSCommerce for an order, but KashFlow works out that it is out by a penny - you then get "overpaid" or "unpaid" warnings.&lt;br /&gt;&lt;br /&gt;What we have done to fix this is to put the OSCommerce figures in directly - without letting KashFlow calculate the tax or currency conversions, so the errors no longer show.&lt;br /&gt;&lt;br /&gt;It works fine on our test accounts - a blogger who regularly writes about accountancy software.&lt;br /&gt;&lt;br /&gt;Dennis is also alleged to be a major shareholder in KashFlow competitor, &lt;/span&gt;&lt;/span&gt;&lt;a rel="nofollow" href="http://www.freeagentcentral.com/"&gt;&lt;span class="Apple-style-span"  style="font-family:verdana;"&gt;&lt;span class="Apple-style-span"  style="font-size:small;"&gt;FreeAgent Central,&lt;/span&gt;&lt;/span&gt;&lt;/a&gt;&lt;span class="Apple-style-span"  style="font-family:verdana;"&gt;&lt;span class="Apple-style-span"  style="font-size:small;"&gt; although his regular attacks on their competitors (particularly KashFlow) are not on their behalf. &lt;br /&gt;&lt;br /&gt;At issue was our initially incorrect subscriber numbers for KashFlow.&lt;br /&gt;&lt;br /&gt;KashFlow has a total of 3,000 paying customers currently on their system and have had 20,000 in total since launch. &lt;br /&gt;&lt;br /&gt;We quoted 15K customers - which was some way off the mark!   (It is worth reiterating that CTO is completely vendor independent and is not affiliated to KashFlow in any way.) &lt;br /&gt;&lt;br /&gt;Dennis wrote a particularly scathing blog about Kashflow mentioning CTO:&lt;br /&gt;&lt;/span&gt;&lt;/span&gt;&lt;a rel="nofollow" href="http://www.accmanpro.com/2009/03/11/numbers-matter-in-on-demand/"&gt;&lt;span class="Apple-style-span"  style="font-family:verdana;"&gt;&lt;span class="Apple-style-span"  style="font-size:small;"&gt;Numbers matter in on demand | AccMan&lt;/span&gt;&lt;/span&gt;&lt;/a&gt;&lt;span class="Apple-style-span"  style="font-family:verdana;"&gt;&lt;span class="Apple-style-span"  style="font-size:small;"&gt;&lt;br /&gt;&lt;br /&gt;Then things got a lot more heated on the UK Business Forums:&lt;br /&gt;&lt;/span&gt;&lt;/span&gt;&lt;a rel="nofollow" href="http://www.ukbusinessforums.co.uk/forums/showthread.php?t=101794"&gt;&lt;span class="Apple-style-span"  style="font-family:verdana;"&gt;&lt;span class="Apple-style-span"  style="font-size:small;"&gt;Twitter Dangers&lt;/span&gt;&lt;/span&gt;&lt;/a&gt;&lt;span class="Apple-style-span"  style="font-family:verdana;"&gt;&lt;span class="Apple-style-span"  style="font-size:small;"&gt;&lt;br /&gt;&lt;br /&gt;Duane was helpfully pointing people towards &lt;/span&gt;&lt;/span&gt;&lt;a rel="nofollow" href="http://www.carrytheone.co.uk/"&gt;&lt;span class="Apple-style-span"  style="font-family:verdana;"&gt;&lt;span class="Apple-style-span"  style="font-size:small;"&gt;CTO&lt;/span&gt;&lt;/span&gt;&lt;/a&gt;&lt;span class="Apple-style-span"  style="font-family:verdana;"&gt;&lt;span class="Apple-style-span"  style="font-size:small;"&gt; during our pre-launch phase.&lt;br /&gt;&lt;br /&gt;After all the controversy we had a lot more visitors! &lt;br /&gt;&lt;br /&gt;Dennis did think we were onto something though: "[carrytheone is]...a good idea and one to be welcomed." &lt;br /&gt;&lt;br /&gt;But he did go on to say that: "How long &lt;/span&gt;&lt;/span&gt;&lt;a rel="nofollow" href="http://www.carrytheone.co.uk/"&gt;&lt;span class="Apple-style-span"  style="font-family:verdana;"&gt;&lt;span class="Apple-style-span"  style="font-size:small;"&gt;carrytheone&lt;/span&gt;&lt;/span&gt;&lt;/a&gt;&lt;span class="Apple-style-span"  style="font-family:verdana;"&gt;&lt;span class="Apple-style-span"  style="font-size:small;"&gt; can survive as a separate entity remains to be seen because in reality, such integrations are features that any competent developer can mimic." &lt;br /&gt;&lt;br /&gt;That is quite wrong - because he assumes two things:&lt;br /&gt;&lt;br /&gt;- the first is that your average small business owner has access to a competent developer (most do not); and&lt;br /&gt;&lt;br /&gt;- the second is that your average small business would want to pay thousands of pounds in development costs to mimic a service that costs £12 a month. &lt;br /&gt;&lt;br /&gt;And then what happens if the store owner needs support (at £50 per hour) or bug fixing or a new feature? The customer places an order containing 1 or more items.&lt;br /&gt;2. The customer returns 1 or more items for an exchange.&lt;br /&gt;3. You create a credit note for the original order and then issue a new invoice from within Kashflow for the new item(s).&lt;br /&gt;&lt;br /&gt;The process uses KashFlows "Assign Advance Payment" functionality to ensure you keep track of how much is owed by you or the customer for any balance.&lt;br /&gt;&lt;br /&gt;&lt;b&gt;&lt;u&gt;Instructions&lt;/u&gt;&lt;/b&gt;&lt;br /&gt;1. Go to your OSCommerce admin and create a new Order Status called "Exchanged".&lt;br /&gt;&lt;br /&gt;&lt;a href="http://www.carrytheone.co.uk/order_status.html" target="_blank"&gt;&lt;img src="http://www.carrytheone.co.uk/images/order_status.png" alt="Order Status" width="391" height="168" border="1" /&gt;&lt;/a&gt;&lt;br /&gt;&lt;a href="http://www.carrytheone.co.uk/order_status.html" target="_blank"&gt;Click to open full size in a new window&lt;/a&gt;&lt;br /&gt;&lt;br /&gt;2. Go to your carrytheone configuration page:&lt;br /&gt;&lt;br /&gt;http://www.yourstore/cto_osc2kashflow_access.php&lt;br /&gt;&lt;br /&gt;Once you have logged in, scroll down to the "Credit Notes" section.&lt;br /&gt;&lt;br /&gt;&lt;img src="http://www.carrytheone.co.uk/images/credit_notes.png" alt="Credit Notes" width="391" height="80" /&gt;&lt;br /&gt;&lt;br /&gt;Configure one of the 3 potential Credit Note triggers for the "Exchanged" order status.&lt;br /&gt;&lt;br /&gt;You will want to exclude the delivery charge - because typically if a customer is returning a non-faulty item, you will not refund the outward delivery cost.&lt;br /&gt;&lt;br /&gt;Also exclude the payment - as this is an exchange, you do not want to automatically assign a payment to the credit note - you are holding back the monies paid in order to put them towards the exchanged item.&lt;br /&gt;&lt;br /&gt;3. Place a test order on your system.  I will keep it simple for now and order one item.  If your customer order several items and only wants to exchange one, you will need to manually edit the credit note to remove the items not being returned.&lt;br /&gt;&lt;br /&gt;I placed an order for a USB mouse - and the system uploaded the invoice to Kashflow within about 20 seconds:&lt;br /&gt;&lt;br /&gt;&lt;a href="http://www.carrytheone.co.uk/kfinvoice.html" target="_blank"&gt;&lt;img src="http://www.carrytheone.co.uk/images/kfinvoice1.png" alt="KashFlow Invoice" width="391" height="178" border="1" /&gt;&lt;/a&gt;&lt;a href="http://www.carrytheone.co.uk/kfinvoice.html" target="_blank"&gt;Click to open full size in a new window&lt;/a&gt;&lt;br /&gt;&lt;br /&gt;4. Next, we assume that the customer receives the item and realises that the USB mouse won't work on their old laptop and they need the PS2 version instead.&lt;br /&gt;&lt;br /&gt;They send it back, and on receipt, you change the order status to exchanged.&lt;br /&gt;&lt;br /&gt;This automatically creates a credit note in Kashflow - excluding the original delivery and does not assign a payment.&lt;br /&gt;&lt;br /&gt;&lt;a href="http://www.carrytheone.co.uk/kfcreditnote.html" target="_blank"&gt;&lt;img src="http://www.carrytheone.co.uk/images/kfcreditnote.png" alt="KashFlow Credit Note" width="391" height="236" border="1" /&gt;&lt;/a&gt;&lt;br /&gt;&lt;a href="http://www.carrytheone.co.uk/kfcreditnote.html" target="_blank"&gt;Click to open full size in a new window&lt;/a&gt;&lt;br /&gt;&lt;br /&gt;5. Next, create a new invoice within KashFlow for the replacement item.  In this case, it is the cheaper PS2 mouse.&lt;br /&gt;&lt;br /&gt;The total including delivery is £77.19 - a bit cheaper than the first order.&lt;br /&gt;&lt;br /&gt;When you have created your new invoice, scroll to the bottom and look for the "Apply Advance Payment" button:&lt;br /&gt;&lt;br /&gt;&lt;img src="http://carrytheone.co.uk/images/advancepayment.png" width="391" height="73" alt="Advance Payment" /&gt;&lt;br /&gt;&lt;br /&gt;KashFlow has spotted that this customer is owed £81.59 off their previous invoice.  Clicking the button will assign this payment to the new invoice.&lt;br /&gt;&lt;br /&gt;6. And how would you like those treated in Kashflow?
